General information

Exhibitor Badges


All exhibitors must register for badges.  Exhibitors are granted access to the exhibit floor during Set-up/Tear-down as well as one hour before the exhibits open and one hour after the exhibits close on exhibit dates.  Exhibitor badges are STRICTLY for exhibit personnel working in your company’s booth.  For security purposes, these badges are NOT to be used for friends, clients, etc.  Exhibitor badges do not permit entry to scientific sessions. If you plan to attend scientific sessions, you may register at the ISAC non-member fee. 

Each representative of an exhibiting company must always wear the official badge while in the exhibit area.  It is the responsibility of the authorized individual signing the application for space to inform all company personnel of the rules and regulations for exhibiting.

Exhibitors will receive 6 badges per 9 square meter.  You can register on-line only.   Deadline for advance registration is 7 April, 2008 .

Exhibitor badges may be made out only in the name of the company shown on the application for space. 

Exhibitor registration will be open during the installation of exhibits on Friday, 16 May and throughout the Congress.

Guest of Exhibitors


Every effort will be made to assure that only properly identified and authorized registrants enter the exhibit area.  Badges will be made available to a limited number of exhibitor guests, defined as individuals you wish to invite to view your display who would not otherwise be registering for the meeting.  The Guest of Exhibitor badge will permit entry only to the exhibit area from Sunday, 18 May through Wednesday, 21 May.  Guest badges will not permit attendance at scientific sessions.

Guests may be registered in advance on Friday, 16 May.  The Exhibitor Registration Desk will be open thereafter during the same hours as the exhibit dates.  These badges will be available for pickup by guests starting on Sunday, 18 May.

It is the responsibility of the exhibiting company to inform all guests of the rules and regulations for exhibiting, particularly the rules regarding General Conduct of Exhibits.

General Conduct of Exhibits

The following practices are prohibited:

1. Noisy electrical or other mechanical apparatus interfering with other exhibitors.
2. Operation of x-ray equipment.
3. Canvassing or distributing any material outside the exhibitor's own space.
4. Sub-leasing of exhibit space.
5. The use of billboard advertisements and/or the display of signs outside the exhibit area.
6. Publicizing and/or maintaining any extracurricular activities, inducements, demonstrations or displays away from the exhibit area during the exhibit hours.
7. Photographing, video taping, or examining another exhibitor's equipment without permission.
8. Balloons of any kind.
9. Entry into another exhibitor's booth without permission.
10. Door drops in hotels.
11. Dismantling exhibits and leaving before official exhibit close at 12 Noon, Wednesday, 24 May.

Social Functions - Hospitality Suites


Industry sponsored dinner, receptions, entertainment activities and/or meetings may not be scheduled in direct conflict with scientific sessions.

Indemnity

The exhibitor assumes entire responsibility and hereby agrees to protect, indemnify, defend and save the International Society for Analytical Cytology, FASEB, the Budapest Sportarena, Fenyves Muszaki Szolgaltato Kft. and their officers, employees, and agents, harmless against all claims, losses and damages to persons or property, governmental charges or fines and attorney's fees arising out of or caused by Exhibitor's installation, removal, maintenance, occupancy or use of the exhibiting premises or a part thereof, excluding such liability caused by the sole negligence of the parties referred to above. In addition, the exhibitor acknowledges that the International Society for Analytical Cytology, FASEB, the Budapest Sportarena , and Fenyves Muszaki Szolgaltato Kft. do not maintain insurance covering the Exhibitor's property and that it is the sole responsibility of the Exhibitor to obtain business interruption and property damage insurance covering such losses by the Exhibitor.

Insurance

Exhibitors are urged to take out a portal-to-portal rider available at a nominal cost on their own insurance policy protecting them against loss through theft, fire, damage, etc.

Commercial Tutorial Program


As part of the meeting program, exhibitors will have an opportunity to host a Commerical Tutorial.  Commercial tutorials provide your company with an excellent opportunity to introduce new products, give in-depth technical demonstrations and present technical updates.  Space for commercial tutorials may be obtained for a 1 hour slot at a cost of US $1,000 per hour (includes a/v).   Deadline to submit an application is 21 January, 2008.

Security


Security will be provided for perimeter access control beginning on Friday, 16 May.

Deliveries or removal of equipment must be made before or after exhibit hours.  Once the exhibits open, a pass must be obtained from Exhibit Management or the security supervisor to remove any material or equipment prior to the close of exhibits at 12 Noon on Wednesday, 21 May. After the exhibit opens Wednesday morning, nothing may be removed until the exhibit is officially closed at 12 Noon, at which time no pass will be required.
